Terms & Conditions

Bookings are subject to the following terms and conditions, Please ensure you read and fully understand these booking terms and conditions. If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.

Payments and Bookings

  • We need written confirmation by email of any booking. A non-refundable 25% deposit of the holiday cost is payable at the time of booking. Bookings made less than six weeks before your arrival date must be paid in full. We will hold the booking provisionally for five days pending receipt of the deposit. We accept payment direct from your bank by online bank transfer. The balance of 75% must be paid no later than six weeks before the commencement of your holiday. If the balance is not received by the due date, then potentially your holiday could be viewed as a cancellation and you will remain liable to pay the balance of the booking.
  • A contract between both parties will come into existence when payment is received and a booking confirmation is issued showing the confirmed holiday dates. The contract binds you & all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.
  • Bookings cannot be accepted from persons under eighteen years of age.

Breaks

  • During school holidays bookings are for 1 or 2 weeks with check in/check out on Fridays.
  • We offer short breaks with a minimum 3 night stay all year outside of School Holidays.  Talk to us about your requirements as we are flexible and will do our best to accommodate your short-break dates.  Prices vary according to length of stay and number of party so drop us an email enquiries@watermillcottage.co.uk or give us a call on 01803 901743
  • Short-break bookings may be moved to a different cottage of similar or greater capacity. However, we will try to fulfil your original request and will inform you of any changes, if they do occur, before the start of your holiday.

Cancellation Policy

  • All cancellations must be notified in writing. If you cancel your holiday more than 6 weeks before it is due to start, then your deposit will be forfeited. If you cancel less than 6 weeks before the holiday, then the full balance remains due and is not refundable. However we will make every effort to re-let the cottage for those dates and, if we’re successful, any payments we’ve received from you, including the deposit, will be returned, less an administration fee of £75.
  • We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.
  • Your booking will not be cancelled by us except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us.
  • We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.
  • The owner reserves the right to refuse a booking without giving any reason.
  • Full refunds are available if travel is restricted by government restrictions.

Guests During your Stay

  • The numbers of residents in each cottage must not exceed those stated on the booking form without prior agreement. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.
  • If we agree to allow the number of residents to exceed the stated capacity on the price list, we charge an additional £20 per night for each additional person, including infants.
  • For the comfort and security of all residents, please ask in advance if you want to have friends and relatives to visit during your stay.
  • We reserve the right to ask non-residents to leave at any time.

Arriving

  • Your cottage is ready for you at 15:00pm on your arrival date unless otherwise agreed, we are generally around on site but will leave a key in the door for your arrival

Leaving

  • Checkout Time is 09:30am on the day of departure. This allows the accommodation to be thoroughly cleaned and prepared for incoming guests. Late checkout is sometimes available by prior arrangement and at our discretion.
  • Please leave your cottage clean and tidy and furniture in it’s original place.
  • We do not charge a damage deposit but reserve the right to charge for putting furniture back, excess cleaning and for any damage done to the property or furnishings during your letting period.

Pets

  • We welcome well-behaved pets, by prior arrangement. We charge £25 per pet per stay and are flexible on number and type of pet – talk to us about your requirements.
  • Dogs must be well-behaved and they must be kept under control as there is free-ranging poultry on site and livestock nearby.
  • Dogs must NOT have access to cottage bedrooms. If you would like your dog to have access to the cottage bedrooms then please let us know, we will require you to bring all your own bedding.
  • Please bring your own dog towels.
  • If you’d like a dog-free day we have a list of day-boarding kennels. Do not leave your dog unattended in your cottage without prior arrangement.

What to bring

  • We supply towels, bath mats and, in the kitchen, two drying cloths, eco washing up liquid and a dishcloth. There’s a loo roll and a spare in each bathroom for your arrival. Please bring your own beach towels. Unless otherwise advised due to govt guidelines all bed linen, duvets and pillows will be provided as well as pillow and mattress protectors.
  • A good torch is helpful as there is no street lighting and if there’s no moon it is dark!  There is a wind-up torch in your cottage however you may prefer a stronger beam as paths are uneven in places.
  • Wellies are essential for dewy mornings, stream walking and exploring the wetlands further down the valley.
  • In summer, a pair of long trousers for children is a good idea, we are rural and if you’re exploring Robin Hood Land there are stinging nettles and brambles.

Electric Car Charging

  • We offer free (overnight) electric car charging on our Zappi charger in the courtyard which uses electricity generated from our water turbine.

The Cottages

  • We live onsite.
  • Each cottage has superfast WIFI, TV & DVD player, a good selection of books and DVDs some games/jigsaws for all ages. If you use any please leave them in the box provided in the cottage so that we can disinfect them for our next guests.
  • A basket of logs for the wood-burning stoves is provided. In return, we ask you to consider your carbon footprint by turning off any heating, lighting and appliances that are not needed or when you go out as we are an eco-friendly holiday home.
  • We or our representatives reserve the right to enter the property at any time to undertake essential maintenance or for inspection purposes.
  • Vaping or smoking anywhere inside the premises is strictly forbidden and could result in immediate termination of occupancy as well as forfeiture of all payments. This must be strictly adhered to and any damage or extra cleaning caused by pets or smoking will be at the expense of you.
  • Please treat the facilities & cottages with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. The accommodation will be inspected at the end of the holiday & you may be charged for any loss or damage.
  • We reserve the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.
  • Please do not move any furniture from one room to another.
  • Please remove shoes before entering the cottage.
  • Please note that if any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you.
  • We shall not be held liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building, grounds.
  • No compensation will be given for any temporary outage of electricity or water beyond our control.
  • We are not responsible for the loss of any personal belongings or valuables of the guest.
  • All inventory must remain in the property and not be taken to another property.
  • Guests are responsible for the safety and security of their children at all times. Never leave children without adult supervision.
  • Please park your vehicles ensuring cars do not block access to other properties. Parking is limited to 1 vehicle per property unless agreed by prior arrangement.
  • Please respect the community and try to keep noise levels to a minimum, especially between 11 pm and 8 am.
  • Barbecue – please use the designated barbecue utensils and clean the barbecue after use.
  • Candles are not allowed inside the house unless in the rare instances there is a power outage.
  • If you have any problems or complaints which you may have concerning your holiday during your stay please, where possible, immediately report directly to us and we will endeavour to put matters right.
  • This property is privately owned and is our home. We expect all guests to enjoy the facilities and treat the property with the same respect that they would with their own house.
  • We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.

    Privacy Policy

    Watermill Cottages respects your privacy. Your personal data is protected in the UK by the Data Protection Act 1998. Under the Data Protection Act, we have a legal duty to protect any information we collect from you. Any information that you give us is held with the utmost care and security. It will not be used in ways to which you have not consented. We do not and will not pass your details to any third party or government department unless you give us permission to do so.

    Use of Information

    We will not collect any information about individuals, except where it is specifically and knowingly provided by them through the completion of enquiry forms or email.  Examples of such information include: Name, Address, Telephone, Numbers, Email Address, Country of Abode.  The information collected may be used to send you the information you have requested and to help us develop the site to be more useful to you.  On occasion we may use any information that you supply for direct marketing purposes or to inform you of news and special offers that we think may be of interest to you.  If you wish to opt out of the receipt of direct marketing information you may do so by sending an email to christine@watermillcottages.co.uk with a subject line of ‘Opt-Out of Direct Marketing’.

    We may on occasion provide links to external websites.  Whilst we make every effort to provide you with links to high quality, reputable sites, the contents of these sites are not under out control.  When you click through to these sites you leave the area controlled by Watermill Cottages.  We cannot therefore accept responsibility for any issues arising in connection with either their use of your data, the site content, or the services offered to our users by these sites.

    Policy Changes

    We reserve the right to make changes to this privacy policy without notice.  Any changes that are made to this privacy policy will be reflected on this page.
